1. Who we are
Our Journey Matters is a sole trader providing nurture group and one-to-one emotional wellbeing support for primary-aged children.

2. What information we collect
We may collect and hold the following types of personal information:
- Parent/carer details: name, email address, phone number, and relationship to the child
- Child information: first name, age, school attended, and any relevant background shared by the parent/carer to help us provide appropriate support
- Health and wellbeing information: details about a child’s emotional, developmental, or communication needs shared by parents/carers — this is special category data and is treated with the highest level of care
- Session notes: brief, confidential notes kept to support the consistency and quality of sessions
- Communication records: emails or messages exchanged with parents/carers
We collect only what is necessary to provide the service. We do not ask for or store unnecessary personal data.
3. Why we collect it and our legal basis
We process personal information for the following reasons:
- To provide the service: arranging sessions, communicating updates, and tailoring support to each child’s needs — based on the performance of a contract or in our legitimate interests
- Health and wellbeing information: collected with your explicit consent, so we can provide safe, appropriate support
- Safeguarding: we have a legal and professional obligation to act if we have concerns about a child’s safety or welfare. In such circumstances, information may need to be shared with appropriate statutory agencies regardless of consent
- Record keeping: maintaining brief session notes in our legitimate interests as a professional practitioner
4. How we use your information
Information collected is used only for the purposes set out above. We do not use it for marketing, sell it to third parties, or share it with anyone outside of the following limited circumstances:
- Where you have given consent (for example, communicating with a school with your knowledge)
- Where we are required to by law or professional safeguarding obligations
5. How long we keep your information
We keep records for up to one year after the end of support, in case of any follow-up queries or if a family returns for further sessions.
When information is no longer needed, it is securely deleted or destroyed.
6. Keeping your information safe
We take reasonable steps to keep your information secure. This includes:
- Storing digital files in password-protected accounts
- Using secure email communication
- Keeping any paper records in a secure, locked location
- Not discussing identifiable information in public or unsecured spaces
Online sessions are conducted via secure video platforms. We will inform you of any data breach that is likely to affect your rights without undue delay.
7. Your rights
Under UK data protection law, you have the right to:
- Access the personal information we hold about you or your child
- Correct any information that is inaccurate or incomplete
- Request deletion of your information in certain circumstances
- Withdraw consent at any time where consent is the basis for processing (though this does not affect anything done before withdrawal)
- Object to processing based on legitimate interests
- Request restriction of how your information is used while a concern is being resolved
- Complain to the Information Commissioner’s Office (ICO) if you believe your data has been handled unlawfully
